Revise an Existing Manual

Digital O&M Manuals
Digital manuals are created in Adobe .pdf format. These files can be shared and viewed by anyone using free Adobe Reader software. Navigate the manual quickly and efficiently with our clickable table of contents. Every manual is bookmarked to match the indexing of the hard copy.
We always encourage Consultants to specify digital copies only. Today’s building operator can carry a digital O&M Manual with them, stored on a tablet or smartphone.
Hard Copy O&M Manuals
Hard copy manuals are compiled 3-ring binders to match your project specifications. Binders are either standard vinyl, or buckram fabric stamped. Divider tabs are heavy weight colored paper, mylar laminated with tab numbers or titles printed on tab.

1. What is an Operation and Maintenance Manual (O&M Manual)?
American Society of Heating, Refrigerating and Air Conditioning Engineers (ASHRAE):
“O&M documentation: a comprehensive set of documents providing information pertaining to a specific facility, new construction, or renovation, including information regarding the design, operation, and maintenance of the facility.” (ASHRAE Guideline 4-2019)
To meet the ASHRAE criteria above, a SCORE Manual will always contain the following:

2. What types of manuals do you provide?
We provide Architectural, Mechanical and Electrical operation and maintenance manuals.
3. I’m not based in Alberta. Can you still provide O&M manuals for me?
Yes! We will ship the manuals to anywhere in Canada.
4. Do you have a standard price for your O&M manuals?
No, we quote each project separately to ensure you’re getting a fair price each time.
5. How do you determine your price for the O&M manuals?
We review the drawings, specifications and addenda and base our quote on the specified type and quantity of binders, digital versions and the work that is required, including the quantity and type of fixtures and equipment.
6. Why does the type of binder matter for quoting?
Custom fabric covered binders with stamped lettering are more expensive than vinyl binders. If the Consultant has specified custom binders, that is what we normally quote. If we determine that the project is too small to warrant custom binders, we will quote vinyl binders and let you know we’ve done so on the quote.
7. What if I don’t want custom binders?
We can provide you with a quote for standard binders. If the Consultant rejects the standard binders for custom ones, we can provide you with custom binders, but extra charges will apply.
8. What if I only want digital copies of the O&M manuals?
We can provide you with a quote for digital copies only. If the Consultant still wants hard copies, we can provide you with them, but extra charges will apply.
9. I’ve been doing my own O&M manuals for a long time but they get sent back for rework. Can you help?
Yes we can. Consultants and Commissioning Agents are closely reviewing O&M manuals these days. We have the resources to prepare your manuals to meet their requirements.
10. If I only need you to prepare the “front end” portion of the O&M manuals, can you do that?
You bet. We can provide you with a quote for the “front end” portion.
11. If manuals need to be printed and put together (packaged), does Score provide these services?
Of course! We will print up to 11”x17” copies. If full size copies are specified to be included, we will leave space in the binder(s) for you to provide and insert.
12. How long are your quotes valid for?
Our quotes are valid for 60 days. If the specifications call for a validity period of 90 days, we will quote accordingly.
13. I have a quote from a competitor. Will you match it?
We need to review the specifications, drawings, addenda to determine our price.
14. I am nearing the end of a project and need O&M manuals. Can you do that for me?
Absolutely! Just send us all the project documentation and we’ll send you a quote. Once you’ve received it, send us a purchase order so we can begin.
15. Should I wait until I have all the documentation you require before sending it to you all at once?
No! We need time to prepare your manuals and get approvals for the cover, spine and layout. We can do some of the work before you’ve finished the project and add the final documents once you send them to us.
16. Why do you provide fabric D-ring binders instead of expandable binders?
The parts for the expanding binders are no longer available but we are able to provide fabric D-ring binders instead.
17. Do you provide Building Controls / Management Systems manuals?
No. We will include this documentation in our manuals if you provide it for us.
